Fixed Assets Verification and Tagging
We propose to carry out the following activities in this stage:
- Carry out a comprehensive and complete physical verification exercise of all the Organisation’s fixed assets.
- Appropriately identify and tag all the fixed assets of the Organisation with our special barcode labels. The barcodes on the labels are indelible, scratch proof and can withstand extreme climatic conditions.
Why Asset Tagging?
Fixed asset verification involves lining up of all the assets specifying the places about where the assets are held and the ones responsible for the possession .it provides with :
- A true and fair position of the value of fixed assets.
- An updated Fixed Assets Register reflecting the actual position on the ground.
- Results into better internal control and accountability.

Creation of a Fixed Assets List
Creation of a fixed assets list is done using data capture softwares which run on the handheld scanners. These list contain the following information among others:
- Asset barcode number and description.
- Asset number that corresponds to the existing numbers on the assets.
- Asset locations indicating the main location, building and floor or room.
- Asset class indicating the main class, sub-class and sub sub-class.
- Asset users especially for Laptops and other IT Equipments
- Asset reporting units such as departments, divisions and cost centres.
- Condition of the asset e.g. Obsolete, Broken etc
- Asset serial numbers where applicable.
Linking with Asset Values from the Existing fixed assets register
The Existing Fixed Assets Register still holds a large proportion of accurate data of our clients Fixed Assets. A process of linking the asset values in Existing and the assets tagged in Asset Capture will be carried out and the following reports produced:
- Assets in the Existing register verified and tagged.
- Assets in the Existing register not verified.
- Assets in the Existing register verified but in a state of disrepair.
- Assets not in the Existing register verified and tagged.
A detailed review of the assets under categories 2, 3, and 4 above will be carried out in consultations with the management at our clients and the appropriate treatment of these items agreed on.
Updating the existing fixed assets register with additional asset information
The reconciled Fixed Assets list will then be used to update the existing Fixed Asset Register with such additional information as:
- Asset barcode numbers
- Asset numbers previously omitted.
- Assets previously missing from the Software Applications register.
- Assets not found.
- Assets found in a state of despair and subject for write off.
